Cancellation Policy
Terms & conditions if your plans change
1. Booking & Payment
Deposit: A 50% deposit is required to secure your booking.
Final Payment: Due at least 7 days prior to arrival. Bookings made within 14 days of arrival require full payment at the time of booking.
Payment Methods: Accepted via EFT or credit card (Visa, MasterCard, American Express). A 1.8% surcharge applies to Visa and MasterCard payments, and a 3.5% surcharge to American Express.
Confirmation: Bookings are confirmed upon receipt of the deposit and written confirmation from our office.
Tariffs: Subject to change without notice until a booking is confirmed. Special offers or discounts cannot be applied retroactively.
Minimum Age Requirement: Bookings must be made by a person aged 18 years or older. The registered guest must be present throughout the stay.
Guest Identification: We may require a copy of government-issued photo identification prior to arrival. Failure to provide ID may result in cancellation without refund.
2. Security Bond
Credit Card: Details are required as a security bond and may be used to cover damages, loss, or extra cleaning.
Cash Bond: If no credit card is provided, a cash bond of $200 or 10% of the booking (whichever is greater) is required.
Refund: Bonds are refundable within 14 days after a satisfactory property inspection.
3. Cancellations & Refunds
Guest Cancellations:
Full refund if cancelled at least 30 days before check-in.
50% refund if cancelled between 7 and 30 days before check-in.
No refund if cancelled less than 7 days before check-in.
Full refund if cancelled within 48 hours of booking (for bookings made more than 7 days before arrival).
Agent Cancellations: If the property becomes unavailable, we will endeavor to find alternative accommodation or provide a full refund.
Travel Insurance Recommendation:
We strongly recommend guests obtain comprehensive travel insurance to protect against unexpected events such as illness, cancellations, or travel disruptions.
4. Check-In & Check-Out
Check-In: From 3:00 PM on the day of arrival.
Check-Out: By 10:00 AM on the day of departure.
Late Check-Out: Subject to availability and may incur a fee. Must be arranged in advance.
Keys: Provided via lockbox. Codes will be sent prior to arrival.
5. Guest Responsibilities
Occupancy: Only the number of guests specified in the booking are permitted to stay overnight.
Conduct: Guests must behave responsibly and not cause a nuisance to neighbors. Excessive noise, parties, or unauthorized functions are prohibited.
Quiet Hours: After 10:00 PM until 7:00 AM on weekdays, and after 10:00 PM until 9:00 AM on weekends and public holidays.
Cleanliness: Properties must be left in a clean and tidy condition. Extra cleaning charges may apply if left unsatisfactory.
Security: Guests are responsible for securing the property during their stay.
Damage: Any damage or loss must be reported immediately. Costs will be charged to the guest.
Smoking/Vaping: Strictly prohibited inside the property. Breaches may incur additional cleaning fees.
Pets: Only permitted at pet-friendly properties with prior approval. A $40 per night, per pet fee applies. Guests must clean up after pets.
6. Property Use
Residential Use: Properties are for residential use only. Commercial activities require prior written approval.
Furniture: Must not be moved between rooms or properties.
Appliances: Guests must not tamper with electronic or mechanical systems.
Maintenance: Please report maintenance issues promptly; we will address them as soon as possible.
7. Liability
Personal Belongings: Guests are responsible for securing personal belongings. Great Southern Stays is not liable for loss or damage.
Injury: Use of the property and facilities is at the guest’s own risk.
Force Majeure: Great Southern Stays is not liable for events beyond our control, including natural disasters, pandemics, government restrictions, extreme weather events, strikes, or civil disturbances that may affect your stay.
8. Privacy
Guest information is collected solely for the purpose of facilitating bookings and providing services. All personal information will be handled in accordance with relevant privacy laws and will not be shared without consent except as required by law.
9. Additional Services
Linen: Provided and included in the cleaning fee.
Mid-Stay Cleaning: Available on request. For stays longer than 2 weeks, a complimentary mid-stay clean (including linen change and consumables top-up) is provided.
10. Breach of Terms
Consequences: Breaches may result in eviction, loss of bond, and additional charges.
Eviction Policy: In the event of serious breach (e.g., illegal activities, severe property damage, major disturbance), immediate eviction may occur without refund. Authorities may be contacted where necessary.
Authority: We reserve the right to enter the property for inspection, maintenance, or emergency purposes.
